These terms govern your use of ImmoEx, a property matching service for real estate professionals operated from the Netherlands. By using the website, the Chrome extension, the web dashboard, or the AI on our homepage, you agree to them. If you do not agree, please do not use the service.
ImmoEx collects publicly listed rental and sale properties from property portals and agency websites, stores your client criteria, and scores each property against each client so you can see which pairings are worth acting on. It also provides supporting tools such as brochure generation, viewing scheduling, and an AI assistant.
You are responsible for keeping your login credentials secure and for everything done through your account. Accounts are licensed per agent seat as described on the pricing page. Sharing a single seat across multiple agents is not permitted.
Listing information is gathered from third party sources and is provided as is. Prices, availability, and property attributes change without notice, and some fields are incomplete because the source did not publish them. Always verify details with the listing agent before advising a client or committing to anything. ImmoEx is not liable for decisions made on the basis of inaccurate or outdated third party listing data.
Subscriptions are billed monthly in advance. You can cancel at any time and your access continues until the end of the paid period. We do not provide pro rata refunds for partial months.
To the extent permitted by law, our total liability for any claim arising from the service is limited to the fees you paid us in the twelve months before the claim. We are not liable for lost profits, lost deals, or indirect or consequential losses.
We may update these terms. If a change materially affects your rights we will notify account holders by email before it takes effect. Continued use after that date means you accept the updated terms.
These terms are governed by Dutch law, and disputes are subject to the exclusive jurisdiction of the competent courts in the Netherlands.
This section explains what personal data ImmoEx handles, why, and what you can do about it. It is written to satisfy the GDPR. The data controller is ImmoEx, reachable at contact@immoex.xyz.
When you enter or import a client, you are asking us to process personal data about a third party on your behalf. For that data we act as a processor and you remain the controller. You are responsible for having a lawful basis to share it with us and for telling your clients that a tool like ImmoEx is involved in their property search.
We use a small number of processors: a cloud host in the EU, an email delivery provider, and Anthropic for AI processing. Text and files you submit to any AI feature are sent to Anthropic to generate a response. We do not sell personal data, and we do not share it with advertisers.
Account and client data are kept for as long as your account is active and for 90 days after cancellation, after which they are deleted. Server logs are kept for 30 days. Data submitted to the homepage AI is covered below.
Our homepage lets anyone try the AI before creating an account. You can ask questions about the Dutch rental market, and you can optionally upload a small sample of your own clients and properties to see real matches. This section explains exactly what happens to what you submit.
Everything you type into that box, and every file you import through it, is stored by us and used to make the matching engine better. If you paste real client details, we will hold them. Do not upload anything you are not comfortable sharing, and do not upload other people's personal data unless you are allowed to.
We are building a real estate AI that gets better the more real demand it has seen. Aggregated questions and criteria tell us what agents actually search for, which parts of the market are underserved, and where our matching logic gets things wrong. That work is our legitimate interest in improving the service, and the imported data is processed on the basis of the consent you give at the point of upload.
Imported client and property data submitted through the homepage AI is retained for 24 months, or until you ask us to delete it, whichever comes first. Question and answer logs are retained for the same period. If you later become a customer, data you imported through the homepage stays governed by this section, not by your account terms.
The homepage AI is entirely optional and you can use the questions without importing anything. Uploading data requires you to actively tick the consent box first. You can withdraw consent and have everything you submitted deleted at any time by emailing contact@immoex.xyz with the approximate date and the email address you used. Withdrawing consent does not affect processing that already happened.
Under the GDPR you can ask us to give you a copy of the personal data we hold about you, correct it if it is wrong, delete it, restrict how we use it, or object to processing based on legitimate interests. You can also ask for your data in a portable format.
Email contact@immoex.xyz and we will respond within 30 days. If you are not satisfied with our response, you have the right to lodge a complaint with the Dutch data protection authority, the Autoriteit Persoonsgegevens.
We use a session cookie to keep you logged in and browser local storage to remember your dashboard preferences and your homepage AI session. We do not use advertising or cross site tracking cookies, so there is no consent banner to click through.
Traffic is encrypted in transit with TLS. API keys stored on your behalf are encrypted at rest. Access to production data is limited to the people who need it to run the service. No system is perfectly secure, and if a breach affects your personal data we will notify you and the regulator as the law requires.
